May 2018 Special Meeting Minutes

A Special Meeting of the Eisenhower Public Library District Board of Trustees May 1, 2018
President Braun called the meeting to order at 7:02 P.M.
Present: Ringelstein, Sticha, Magnuson, Ross, Magnelli, Braun.
Absent: Rothbart.
Also Present: Wittmann, Bacarella, Sciaccotta. 
Landscaping RFP— 
Stacy advised that the attorney reviewed the RFP. We also found one typo that will be fixed. Trustee Magnelli advised that they spoke about asking for a warranty on all the plants, Director Wittmann will adjust the RFP to add the warranty. We will schedule a special meeting on Thursday, May 31st to open the bids. Trustee Ross moved, seconded by Trustee Magnuson, AUTHORIZED GOING OUT FOR BID FOR THE INSTALLATION OF LANDSCAPE AND PLANT MATERIALS AT SPECIFIED LOCATIONS AT THE EISENHOWER PUBLIC LIBRARY BUILDING.  A voice vote was taken and the motion carried. This bid notice will be published May 10th and May 17th in the Pioneer News with a scheduled bid opening of May 31st.
Pear Tree Maintenance Proposal—
Director Wittmann spoke to Anne Roberts and she recommended that we contact a certified Arborist. Director Wittmann met with Gray Tree Service yesterday and he looked at the tree and advised that the damage is more profound than it really looks. He advised that doing anything to the roots is a temporary fix. The only permanent fix is removing the tree. He estimated that the cost to remove the tree, stump, pulling up the pavers and grind down the roots would be $500. Trustee Magnelli spoke to his landscape architect at his work and he advised it should have never been planted there and shaving the roots is not recommended. His recommendation was to take the tree out. Director Wittmann also contacted Davis Tree Care and Care of Trees to look at the tree. Trustee Sticha mentioned a chess table would be nice out there. The Board would like to keep the tree removal separate from the landscaping RFP. 
Landscaping Proposals—Rosario Gambino & Son Landscaping, Victor F. Landscaping Inc., and McLoughlin Landscaping—
Rosario Gambino & Son Landscaping submitted the lowest proposal. They have been maintaining our landscaping for a few years now. Trustee Ross moved, seconded by Trustee Sticha, TO APPROVE THE LANDSCAPE PROPOSAL FROM ROSARIO GAMBINO AND SON LANDSCAPING. A voice vote was taken and the motion carried.  
Trustee Ross moved, seconded by Trustee Sticha, THAT THE MEETING BE ADJOURNED. A voice vote was taken and the motion carried. The meeting was adjourned at 7:31 P.M.
